General Position Description:
The Director of Operations will provide strategic guidance to the organization, and oversee: financial operations (accounts payable, payroll, grant report entry), membership management activities (database management, member correspondence and tracking) and manage the organization’s human resource responsibilities, formulate and manage the organizational and program budgets in collaboration with the CEO, the Board of Directors, and other officers. This position operates to support both the Future of Privacy Forum and its affiliated organization, the FPF Education and Innovation Foundation.
This position is primarily responsible for enabling continued growth, and ensuring efficiency and effectiveness by providing senior leadership for the organization’s financial and operational functions. The Director of Operations is a member of the senior management team, and is responsible for contributing to the development and implementation of organizational strategies, policies, and practices.
This is a full-time position in the Washington D.C. office.
Responsibilities:
- Operations Management – Determine overall needs and goals of the organization for developing and implementing policies and procedures to enable continued organizational growth along existing and newly identified funding sources. Set priorities and develop practices to support the needs of employees and management.
- Provide oversight and management of office processes; coordinate material and resources
- Maintain organizational policy guides including, but not limited to, HR, Accounting, and IT processes
- Supervise and coordinate inventory management for organizational assets
- Revise and/or formulate policies and promote their implementation
- Plan and monitor the day-to-day running of business to ensure smooth progress
- Coordinate with the Executive Assistant for execution of office and management priorities as defined by CEO
- Provide oversight and management of relationships and agreements with external partners and vendors; manage all Memoranda of Understanding with outside organizations
- Evaluate regularly the efficiency of business procedures according to organizational objectives and apply improvements
- Oversee event planning (via contractor support, or in-house) for logistical and budget requirement; supervise Event Planner
- Ensure that the company operates in legal compliance with applicable regulations and laws
- Other duties as assigned by the CEO
- Provide oversight and management of office processes; coordinate material and resources
- Human Resources:
- Provide oversight and management of recruiting and hiring of employees
- Supervise on-boarding and off-boarding of employees, and tracking and scheduling employee training cycles; ensure legal compliance
- Oversee benefits, insurance, and payroll processes
- Craft annual work plans for staff tied to performance measures and oversee the staff performance evaluation process.
- Serve as primary contact for employee concerns and complaints and provide guidance to managers related to personnel management
- Provide oversight and management of recruiting and hiring of employees
- Financial Oversight
- Provide oversight and guidance for organizational financial management policies and processes
- Supervise Financial Management Specialist for all budget, AP, AR, and other bookkeeping and accounting functions
- Manage contracts – both long-term contracted support (Senior Fellows; grant-funded contracts) and individual contracting for events and services
- Supervise processing of vendor payments
- Serve as signatory for all accounts payable up to $10,000 or as designated by the CEO
- Approve office supply requests, review and approve supply orders
- Coordinate and oversee annual fiscal budget development
- Manage and track Operations budget expenditures; identify/request unfunded requirements
- Provide oversight and guidance for organizational financial management policies and processes
- Grant Management
- Work with Leadership Director for development of grants priorities and submission, incorporate into broader organizational financial development strategies
- Oversee budget development aspects of grant proposals; ensure alignment grant deliverables against current resources
- Provide oversight and management for the execution, deliverables, and reporting requirements of grants; oversee budget management by Program Managers
- Work with Leadership Director for development of grants priorities and submission, incorporate into broader organizational financial development strategies
- Membership Management and Development Activities – Provide oversight and management for membership renewal strategies and timetables in coordination with Leadership Director
- Supervise the Member Management Specialist
- Oversee member management activities to include database management, report generation, standard member communications, and resolution between all software systems and platforms to carry out the digital records for membership communications and tracking
- Supervise on-boarding and off-boarding processes for supporting companies, and related maintenance processes for existing members
Required Qualifications:
- Post-graduate education in business management, public administration, or related field from an accredited university
- 7-10 years of experience in operations management at government agency, non-profit organization, or commercial company; 2-3 of which included direct supervisory experience
- Excellent verbal and written communication skills; detail oriented, skilled at working collaboratively, with personal initiative
- 4-7 years of budget formulation and management experience
Desired Qualifications:
- 2-3 years of direct federal or private grant management experience
- 3-5 years of direct supervisory experience
- Database management or CRM program experience, particularly SalesForce
- Familiarity with federal legislative and regulatory processes
- Experience with management of both 501(c)4 and 501(c)3 funding, and government grants process.
- Familiarity with technology or consumer privacy issues
